PRIVACY POLICY
AYRO AI FZ-LLC | Ras Al Khaimah, United Arab Emirates
Website: www.ayro.ai
1. About this policy
AYRO AI FZ-LLC ("AYRO AI", "we", "us") respects your privacy. This policy explains how we collect, use, share, secure and retain personal information when you visit our website, contact us, use our services or apply to work with us. We follow applicable UAE data protection law and, where relevant, UK and EU data protection requirements.
2. Information we collect
We may collect names, business contact details, company information, enquiry and correspondence records, project and billing information, and website technical or usage information. For recruitment, we may collect CVs, professional profiles, work history, qualifications, interview notes and information voluntarily provided by applicants. We ask you not to submit unnecessary sensitive information.
3. How we use information
We use information to respond to enquiries, manage prospective and existing client relationships, deliver services, recruit personnel, administer an optional talent pool, maintain our website and systems, protect our business and meet legal obligations. Where applicable, we rely on contractual necessity, legitimate interests, consent, legal obligations or another lawful basis permitted in the relevant jurisdiction. Marketing communications are sent only where legally permitted, and recipients can opt out.
4. Recruitment and talent pool
We generally retain unsuccessful applicants’ recruitment records for up to 12 months after the recruitment process ends. Candidates who separately opt in to our talent pool may have relevant information retained for up to 24 months so we can consider them for future opportunities. Participation is optional, and consent can be withdrawn at any time by contacting sales@ayro.ai. Longer retention may apply where legally required or justified; records are reviewed and deleted or anonymized when no longer needed.
5. Client projects and deployed AI systems
AYRO AI develops and deploys AI agents, software and automation systems for business clients. Where a client controls the purposes and means of processing information in its deployed system, that client is generally responsible for its operational data and applicable privacy obligations. After handover, we do not routinely monitor or access client-controlled operational data unless authorized for implementation, support or other agreed services. Our actual legal role depends on the services, access arrangements and contracts. Where we process personal data on a client’s behalf, appropriate contractual and data protection arrangements will apply. Nothing in this policy excludes responsibilities that cannot lawfully be excluded.
6. Third-party service providers
We may use third-party CRM, recruitment, hosting, cloud, email, analytics and communication providers to operate our business. We seek appropriate confidentiality, security and contractual safeguards where required. Such providers may process information in other countries. Using third parties does not remove AYRO AI’s obligations for personal information under its control.
7. Retention of information
We retain personal information only for as long as reasonably necessary for the purposes collected. Prospect and enquiry records are generally reviewed after 12 months without meaningful interaction. Active client records may be retained throughout the business relationship; relevant records may be retained afterwards for reasonable commercial, contractual, accounting, regulatory or legal purposes. Retention may be extended where required by law or needed to establish, exercise or defend legal claims. We securely delete or anonymize information when no longer needed, subject to applicable exceptions.
8. Security and international transfers
We apply reasonable technical and organizational safeguards, including appropriate access controls and measures suited to the information and systems involved. No online system is completely risk-free. As a UAE-headquartered business, information may be accessed or processed internationally. Where required, we use lawful transfer mechanisms and appropriate safeguards.
9. Cookies and website analytics
Our website may use essential cookies and, where enabled, analytics or other optional technologies. We provide relevant notices and obtain consent for non-essential cookies where required by applicable law. Cookie choices and retention depend on the technologies actually deployed on our website.
10. Your privacy rights
Depending on applicable law, you may request access to, correction or deletion of your information, object to or restrict certain processing, withdraw consent, or exercise other statutory rights. Requests can be sent to sales@ayro.ai. We may verify identity and apply legal exemptions where appropriate. If information is controlled by one of our clients, we may direct the request to that client or assist as required.
11. Sharing and legal disclosures
We may share information with authorized service providers, professional advisers or competent authorities where necessary and lawful. We do not sell personal information. We may disclose records to comply with legal obligations, protect rights or investigate suspected misuse, subject to applicable law.
12. Updates and complaints
We may update this policy as our services, technologies or legal obligations change. The current version will be published on our website. If you have a concern, please contact us first. You may also complain to a competent data protection authority where applicable.
